Data Retention Policy
How long we keep different categories of information, and how it is disposed of.

Purpose
This Data Retention Policy explains, at a general level, how long Masterfound Security Group keeps different categories of information, and how it is disposed of once no longer needed. It supplements our Privacy Policy.
Our Approach to Retention
We keep personal and business information only for as long as reasonably necessary for the purpose it was collected, to maintain accurate records, or to meet a legal, contractual, insurance, or regulatory requirement — whichever is longer — after which it is securely deleted, destroyed, or anonymised.
Website Enquiry & Contact Data
Details submitted through our website's contact and quote-request forms are kept for as long as reasonably necessary to respond to your enquiry and handle any reasonable follow-up, after which they are deleted or anonymised — unless you go on to become a client, in which case the retention terms of your service agreement apply.
Client & Contract Records
Records relating to a signed client service agreement — including site assessments, correspondence, and billing records — are retained for the duration of the engagement and for a reasonable period afterwards, consistent with our contractual and statutory obligations under Kenyan law, after which they are securely disposed of.
CCTV, Guard-Tour & Incident Records
Where we operate CCTV, guard-tour monitoring, or incident-logging systems on a client's behalf, footage and logs are retained only for as long as necessary for security, incident-investigation, or contractual purposes as agreed with that client, alongside our own internal safeguards.
Employee Records
Personnel records — including vetting, training, and deployment history — are retained for the duration of employment and for a reasonable period afterwards, to meet our obligations under Kenyan labour law and PSRA licensing requirements.
Secure Disposal
When information is no longer required, we dispose of it securely — including permanent deletion of digital records and secure destruction of physical documents — so that it cannot reasonably be reconstructed or accessed.
Your Rights
You may ask what personal data we hold about you and request its deletion, subject to the exceptions described in our Privacy Policy — for example, where we are required to keep a record by law.
